This role leads the coordination and planning of Project and Office activity for Quartzelec Spain. You will ensure effective project delivery from enquiry to completion, with a strong focus on customer service, financial control and operational efficiency.
You will also support the Operations Manager with day-to-day management, administration and coordination with internal and external stakeholders to help maintain seamless operations.
Key Responsibilities…
• Manage and maintain the internal system for incoming quotation and tender requests
• Prepare quotations and tenders alongside the Sales team, ensuring professional and accurate content aligned with Quartzelec standards
• Ensure all quotations are submitted in a timely and efficient manner
• Liaise with the Sales team regarding the status of quotations and tenders
• Plan and coordinate projects, ensuring availability of resources, materials and equipment
• Coordinate logistics, subcontractors and PRL/site access documentation
• Create and monitor project schedules, ensuring adherence to delivery requirements
• Purchase project parts and arrange shipment to correct site locations, including shipping documentation
• Communicate with suppliers and support commercial negotiations
• Assist with invoicing and debt management
• Conduct contract reviews and cost-to-complete forecasts
• Liaise professionally with internal and external customers to ensure effective project delivery
• Set up and maintain contract files and documentation
• Ensure work instructions and MS/RA are issued as needed
• Ensure operational and progress reports are submitted in a timely manner
• Support the Operations Manager with daily coordination and administration tasks
• Maintain excellent quality and safety standards at all times
Qualifications, Experience & Personal Attributes
• Fluent in English and Spanish
• Willingness to travel in Spain, Europe and the UK occasionally
• Minimum 5 years’ experience in a similar role
• Experience within an engineering environment
• Customer focused with strong communication skills
• Highly organised, with strong time management abilities
• Financial and commercial awareness
• Competent with Microsoft Word, Excel, PowerPoint and related tools
• Able to work flexibly on own initiative and collaboratively as part of a team
• Driven, enthusiastic and motivated to succeed
• Passion for promoting continuous improvement
• Engineering degree desirable, not essential
